Tutors: how do you keep your materials organized across a full caseload?

Every reader is at a different place, each needs different word lists, cards and books, and the prep to keep it all straight quietly eats your evenings. When a caseload grows, the materials are often the first thing to fall apart.

What is your system: binders per child, a shared drive, printed decks, a spreadsheet of where each reader is? What finally stopped you from losing a week every time a new student started?

We are building toward a dashboard that keeps the record and suggests the next skill for each reader, so the prep shrinks. But we want to hear the low-tech systems that already work for you.
